Kilimanjaro Cancellation and Rescheduling Policy
In short: the $100 deposit is non-refundable but counts in full toward the cost of your trip; the 30% prepayment is refundable if you cancel at least 30 days before the start; and on the mountain, weather calls always err on the side of safety. Here is how it works.
If you cancel

The $100 deposit confirms your booking and covers the work of setting the trip up: holding your place, making and unmaking reservations, preparation. It is not refunded if you cancel or fail to show up. If you do travel, it counts in full toward your total.

The 30% prepayment is refundable if you cancel at least 30 days before the start. Cancel inside 30 days window and it is not refunded: by that point we have already covered the main costs of preparing the expedition.

The balance is due no later than 10 days before the trip begins; the booking process shows where each payment falls.
Rescheduling to another date
Rescheduling is more flexible than cancelling. Request a new date more than 30 days before the start, and the full 30% prepayment moves across to it – or comes back to you, whichever you prefer. Inside 30 days, the terms are worked out case by case: how much of the prepayment carries over depends on what we have already spent preparing the current trip. If your plans might change, tell us when you book and we will pick a date with room to move.
Weather and force majeure
On the mountain the guide makes the calls, and they always favor safety: the timing of the summit push can shift, and the plan can be adjusted to give the group the best weather window. If the climb is stopped for medical reasons, a guide and an assistant walk you down at no extra cost.
In ALPO’s experience, the park has never closed a route we operate. Genuine force majeure before the start, such as airports closing along your route or similar circumstances outside anyone’s control, is handled case by case: get in touch and we will work out a solution together.
